Sitepass - Power and Water's authorisations management system

Sitepass is the system we use to manage safe access to Power and Water apparatus, i.e. gas pipelines, electricity, water, sewerage, and mechanical apparatus, and associated authorisations.

Any person accessing or working in close proximity to Power and Water apparatus  is required to have the appropriate training, inductions and authorisations, verified in Sitepass. This ensures compliance with Power and Water's access to apparatus requirements and that both parties are meeting their duty of care.

There are no costs to the contractor for registering with the system. Power and Water pays for the system and any associated administrative or maintenance costs.

Process overview to achieve authorisation

Step 1. Invite to connect

  • Contractors are invited by their Power and Water point of contact to register their business in Sitepass via email. Contractors then need to register their employees in their business account.

Step 2. Maintain business and employee data

  • It's important that contractors complete and maintain their business and employee details and data, including uploading relevant, current business insurance certificates and employee licences and qualifications.

Step 3.  Complete induction and training

  • To achieve and maintain authorisation to work on or in the vicinity of Power and Water apparatus, contractor employees need to complete the Power and Water Corporation online or external initial and refresher training, as advised by their Power and Water point of contact.

Step 4. Verify

  • Upon completion of authorisation prerequisites, the information provided by contractors is verified prior to issuing the contractor employee's authorisation card.

Migration to the new version of Sitepass

Log in to Sitepass for the first time as a migrated contracting company administrator

Step 1. Log in to Sitepass

  1. Go to Sitepass to log in for the first time, using your existing Sitepass username and password.

If you have forgotten your username or password, it is recommended that you contact the Sitepass help desk for assistance.

Step 2.  Update your details

  1. Once logged in, Sitepass will request that you update your username to a unique email address.  Enter your email address to receive an email to validate your email.
  2. Update your password, personal and business details, as required.

The completion of your business profile review will finalise your business account setup and provide you access to Sitepass.

Step 3. Navigating in Sitepass

  1. On first login, navigate to 'Clients' in the left menu to view your connected client.  Select the client to view your business workflows.  The task list against your business workflow will display expired records, or new forms that need to be completed.
  2. Select the 'My Team' menu to view all previously registered team members (employees).
    Note: The new version of Sitepass allows you to assign one or multiple administrators for your business.  Navigate to 'My team' to assign any employee as a business administrator.
  3. To add additional team members (employees), click on the 'Invite Team' button in the top right corner to view the available invitation options.

What you should communicate with your employees about their access

It is recommended that your employees log in to the new version of Sitepass to review and update their user profile.

Note, your employees require an individual, unique email address to connect to Sitepass. Information about how to log in to Sitepass can be viewed in the FAQ for migrated users article.

Disconnecting employees who are no longer employed

Any employees who no longer work for your business should be disconnected.  Refer to the article 'Disconnect a team member ' to follow the step by step process.

Adding new employees

New employees can be invited to register in Sitepass. Refer to the article 'Inviting your team members ' for a step by step process to invite new employees.

Log in to Sitepass for the first time as a migrated user

Step 1. Log into Sitepass

  • Go to Sitepass . To log in for the first time, use your existing Sitepass username and password.

If you have forgotten your username or password, it is recommended that you contact the Sitepass help desk for assistance.

Step 2.  Update your details

  • Once logged in, Sitepass will request that you update your username to a unique email address. Enter your email address to change your username and receive an email to validate your email.  If your current username is a unique email address, this email address can be re-entered.

Step 3. Update your password

  • Update your password along with your email address. Click on the link 'Set a new password' to change your password.

Updating your password is not mandatory, and can be changed once your account setup has been finalised.

Step 4. Review your details

  • Once your email is validated, you will need to review your personal profile information. This includes:
Your profile photo
  • Your existing profile photo will be migrated over to the new version of Sitepass. If your existing photo is of low quality or does not best represent you, it is recommended that a new photo is uploaded. Examples of suitable profile photos can be viewed here: Example profile photos .
Mobile phone number
  • Providing a mobile number is mandatory in order to receive SMS notifications from Sitepass. Enter a valid mobile number if you would like to receive SMS notifications.
Full name
  • Review and update your full name, if it has changed.

Click the 'Finish Setup' button to complete finalise your personal profile setup in the new version of Sitepass.

New to Sitepass

Register a contractor business in Sitepass

To connect your business to Sitepass, you need to receive an invitation email from your Power and Water point of contact.

Once you have created your personal profile, you will need to enter your business profile information, including:

Business logo

  • Upload your business logo. This will be used to identify your business in Sitepass. The logo should be clear and easy to see while being free of obstructions.

Business numbers

  • Enter your business ABN or add additional business numbers.

Business address

  • Enter your primary business and mailing addresses.

Industry

  • Select from the list an appropriate industry for your business.

Business contacts

  • Sitepass supports multiple contact details to be added including phone number, website or emails.  Add the latest contact information for your business.

Business description

  • Add a description that describes your business and services it offers.

Invite your employees to connect

As a contractor business administrator, you can invite your employees to connect to your business in Sitepass.

All employees require a unique email address to connect in Sitepass. Sitepass will prompt your employees to create a new password when they log in for the first time.

Disconnect an employee from your business

As a contractor business administrator, you can disconnect an employee from your business via the 'My team' page.

Log in to Sitepass

Individuals log in to Sitepass with their unique email address and password.

Profile picture requirements

Your photo is uploaded as your profile picture and can be used to identify you at a worksite. You can change this photo at any time.

To be suitable, your photo needs to meet the following conditions:

  • It is a JPEG or PNG image.
  • At a minimum, the resolution is 250 (width) X 250 (height).
  • The file size is no larger than 15MB.

Updating and resetting your password

You can change your password under Sitepass > My Profile > Account Details > Password.

  • At least one upper character
  • At least one lower character
  • At least one digit
  • At least one special character
  • A minimum of 8 characters in length
  • A maximum of 20 characters in length

Resetting your password

  • Navigate to the  Sitepass login page.
  • At the top of the password field there is a link titled 'Forgotten your password'.  Click this link to access the forgotten password page.
  • Enter your email address for your account to receive the forgotten password email and press the 'Reset' button.
  • Your email address will receive an email with a link to reset your password.
  • Click on the link in the email to navigate to the change password screen.
  • To change your password, enter a new password twice. Password must contain at least one upper character, one lower character, one digit, one special character and must be at least 8 characters long.
  • Click 'save' to save the new password.
  • You can now log in to Sitepass.

Quality of licence and certificate copies

You must provide readable copies. We highly recommend you supply coloured scans or photos of adequate quality. If we can't verify the provided information, we will request you to upload a better copy.

Power and Water will not grant you an authorisation, if the information can't be verified or a license or certificate has been expired.

Your Sitepass ID card

All Sitepass users are issued with an individualised Sitepass ID card. Your ID card is linked to your Sitepass account. You can download your ID from Sitepass and then present it to a Power and Water representative when you attend one of our worksites.

Your ID card contains a Quick Response (QR) code, which is your unique matrix barcode. Your barcode can be scanned by the client to ensure that you have met their business requirements before you begin work at their worksite.

Book a training session

Training sessions are offered throughout the year and depending on your needs and our availabilities, sessions can be organised adhoc. Contact the Sitepass system administrator to book into a training session.

Who to contact for support

It is recommended that you browse the knowledgebase for answers to your questions first.

The following support requests should be directed at your Power and Water point of contact:

  • Power and Water business processes or policies
  • Questions regarding authorisations, training or competencies required
  • Any new requirements assigned to a worker's workflow (e.g. new course that need to be completed).

The following support requests should be directed at the Sitepass system administrator:

  • Questions regarding using the Sitepass platform
  • Reporting bugs or technical issues
  • Questions regarding the migration of a profile
  • Management of a profile.
  • Sourcing approval for submitted or outstanding authorisations or other items like licenses, contractor business insurances etc.
